STAGE SET UP
Friday: Stage Setup (unchanged)
Permit Window: Friday 8 AM – 6 PM
Everything on Friday remains the same. Stage must be fully built, dressed, and safety-checked by 6 PM Friday so that the site is ready for any vendor or pre-event activity.

Saturday: Festival Day & Post-Event Breakdown
Festival Runs Until 8 PM
• 12 PM – 8 PM | Festival programming on the stage area
• Acts, DJs, ceremonies, etc.
• Technical crews remain on-site (light, sound, safety) until final performance.

Saturday Breakdown: 8 PM – Midnight (or later)
1. Immediate Shutdown & Power-Down (8:00 PM – 8:30 PM)
• Sound & Lighting Teams:
• Power down all audio/lighting equipment in the correct order (main PA first, then stage monitors, then FOH board).
• Remove microphones from stands, unplug cables, and co-coil them on stage ramps.
• Generator:
• Technical lead confirms generator can be shut off safely (ensure no active signals requiring power).
• Safety Officer:
• Patrol stage perimeter to keep attendees clear of teardown crews.
• Ensure first-aid station remains staffed until the last vendor leaves.
2. Breakdown Lighting & Sound Fixtures (8:30 PM – 9:30 PM)
• Rigging Crew:
• Dismount stage monitor speakers and line arrays from truss wings.
• Carefully lower them to the stage floor, pack into road cases.
• Lighting Crew:
• Unbolt and remove front-of-house lights from trusses.
• Store lights in dedicated carts or cases.
• Audio Crew:
• Load mixers, amplifiers, and cables into labeled road crates (stack in the staging area).
3. Canopy & Truss Dismantle (9:30 PM – 10:30 PM)
• Rigging Team:
• Remove canopy/tarp from overhead frame; fold and bag tarps for transport.
• Lower trussing sections to the ground; detach and stack safely.
• Use sandbags/anchors to guide trusses to the staging zone.
• Safety Officer:
• Confirm no loose hardware is left hanging; check for potential hazards.
4. Stage Platform Disassembly (10:30 PM – 11:30 PM)
• Stage Crew:
• Unlatch modular stage platforms, stack in serveral piles.
• Remove drum risers, side wings, backdrop frames.
• Use dollies/forklift to move stacked modules to staging trucks.
• Inventory Lead:
• Tick off each module (legs, surfaces, guardrails) on the checklist as it’s loaded.
5. Initial Site Cleanup & Secure (11:30 PM – 12:00 AM)
• Cleanup Crew:
• Remove stray trash near the stage footprint; place in City bins.
• Sweep/rake sand level near stage edges if required.
• Security:
• Ensure the site is clear of pedestrians; cordon off any remaining loose gear.
• Stage Manager briefs overnight security on locked fencing or caution tape.
NOTE: If local noise ordinances prohibit heavy teardown after 11 PM, plan to pause at midnight and resume Sunday morning. Confirm city curfew.

Sunday Morning (if needed): Final Breakdown & Cleanup
(Only if Saturday night teardown cannot be fully completed due to noise or time restrictions.)
1. Resume Disassembly (8:00 AM – 9:30 AM)
• Collect any remaining stage modules or trussing from overnight staging zone.
• Load any gear that city order prevented loading on Saturday night.
2. Final Site Cleanup (9:30 AM – 10:30 AM)
• Remove signage, banners, tape, fencing, and any last trash.
• Rake/sweep under and around the stage footprint, returning the beach to its pre-event state.
3. Equipment Load-Out (10:30 AM – 12:00 PM)
• Final check of toolboxes, road cases, and production carts.
• Forklift or dolly load all pallets and road crates onto trucks.
• Sign off on the final equipment checklist; Stage Manager confirms all items are accounted for.
4. Handover & Inspection (12:00 PM – 12:30 PM)
• Safety Officer does a final walkthrough with a City rep to verify the site is clear of hazards.
• Stage Manager and City rep sign off on the “Site Restoration Checklist” to confirm compliance.

Key Adjustments & Reminders
• Overnight Security: Minimal staff must remain on-site until all stage lights, speakers, and trussing are safely down. If breakdown extends past midnight, ensure security is aware of changing crew shifts.
• Noise Curfew: Check Tybee Island’s ordinance. If noise must cease by 11 PM, adjust Saturday tasks so that loud tasks (rigging disassembly, forklift operation) pause by that time and resume Sunday morning.
• Volunteer & Crew Schedules:
• Saturday Evening Crew: Must be ready to begin teardown at 8:30 PM. Provide dinner/snacks to keep morale high.
• Sunday Morning Crew (if used): Reserve a smaller team to finish remaining tasks—typically only remainders from Saturday that could not be completed due to curfew.
• Equipment Storage: If trucks cannot leave until morning, designate a secure “locked staging area” nearby.
• City Coordination: Communicate directly with the Special Events Coordinator by 5 PM Saturday to confirm breakdown can commence immediately after 8 PM and clarify any noise or curfew restrictions.

Beach Cleanup & Coastal Protection
Orange Crush Festival is deeply committed to preserving the natural beauty of Tybee Island. Our Beach Cleanup & Coastal Protection Program mobilizes volunteers, students, and local partners before, during, and after the event to ensure the shoreline remains clean, safe, and sustainable. We coordinate with city sanitation services and deploy designated waste stations, shoreline dumpsters, and beach patrol teams throughout the weekend. By partnering with local environmental groups and integrating public education on litter prevention, we turn celebration into stewardship — proving that large-scale events can leave behind cleaner, healthier beaches.
EMERGENCY RESPONSE
Emergency Response & Public Safety
Orange Crush Festival has a comprehensive Emergency Response Plan designed to protect attendees, staff, and residents at all times. Led by our Public Safety Coordinator and supported by local law enforcement and EMS, the plan includes 24/7 on-site medical tents, roaming first responders, and clearly marked emergency zones. Storm evacuation protocols, lost child procedures, and beach safety patrols are pre-approved with city officials and reviewed daily. Our command center maintains direct radio communication with Tybee Island Police, Fire, and EMS to ensure rapid response to any incident — reinforcing our commitment to a secure and professionally managed event.

Logistics & Compliance
Orange Crush Festival operates under a tightly managed Logistics and Compliance Framework to ensure full coordination with city officials, vendors, and safety personnel. Every element of the festival — from stage setups and vendor placement to restroom access and shuttle routes — follows a pre-approved site plan reviewed with the City of Tybee. Our team maintains updated insurance coverage, city permits, and business licenses, while all vendors undergo credential checks and sign compliance agreements. Daily operational logs, law enforcement briefings, and crowd control measures ensure the festival remains organized, legal, and fully accountable at every stage.
