2. Setup Schedule — Dawn Operations

Start Time: 5:30 AM (Sunrise/Dawn)

Completion Target: 10:00 AM (Before Gates Open)

5:30 AM – 6:30 AM: Early Arrival & Site Preparation

  • Security team sets up barricades, controlled entry lanes, and emergency access points.

  • Vendor vehicles arrive and park for unloading.

  • Power, lighting, and sound crew establish primary stage hookups.

6:30 AM – 8:00 AM: Infrastructure Assembly

  • Stage, VIP zones, and Splash Pad area tents assembled.

  • Portable restrooms and dumpster placed and serviced.

  • Vendor Village tents, signage, and tables installed along Butler Avenue.

  • Shuttle signage and traffic control cones positioned at the Grandview entry.

8:00 AM – 9:30 AM: Testing & Final Inspections

  • Full sound check and lighting test.

  • Fire, EMS, and city safety walkthrough for compliance.

  • Hotel Tybee coordination check-in for guest access and parking alignment.

9:30 AM – 10:00 AM: Staff & Volunteer Briefing

10:00 PM – 10:30 PM: Guest Egress & Safety Sweep

  • Attendees exit via Gate 1 and Shuttle routes.

  • Security performs controlled exit and perimeter lock.

10:30 PM – 11:00 PM: Teardown & Site Restoration

  • Stage and lighting powered down and secured.

  • Vendors pack and exit under supervision.

  • Restrooms serviced; dumpsters removed.

  • Trash and debris collected; streets swept.

  • Final inspection by City Public Works and Hotel Tybee management for sign-off.

Main Entrance – Gate 1

Guests enter through Gate 1, positioned on Butler Avenue between Hotel Tybee and the Splash Pad.

This serves as the central registration and check-in point, featuring ticket scanning, wristband distribution, and guest services.

Vendors Village

Stretching along Butler Avenue, the Vendors Village hosts food trucks, local businesses, and official festival merchandise tents.

This high-traffic corridor connects the main gate to the concert and stage area.

The festival’s performance area sits near the east edge of the lot beside the Splash Pad.

It includes:

  • Main Stage for live DJs, hosts, and headline performers

  • Shuttle Stop: Designated pick-up/drop-off area along the Grandview frontage to manage off-site parking flow.

  • Dumpster & Cleanup Zone: Behind Hotel Tybee near the Conference Center to support waste-management teams and environmental compliance.

Traffic & Community Flow

Entry and exit routes are aligned with 14th Street(west) and 15th Street (east), directing all vehicle circulation to Butler Avenue.

Directional signage and barriers will ensure that residential and business access remains open throughout the event.

Orange Crush Festival is deeply committed to preserving the natural beauty of Tybee Island. Our Beach Cleanup & Coastal Protection Program mobilizes volunteers, students, and local partners before, during, and after the event to ensure the shoreline remains clean, safe, and sustainable. We coordinate with city sanitation services and deploy designated waste stations, shoreline dumpsters, and beach patrol teams throughout the weekend. By partnering with local environmental groups and integrating public education on litter prevention, we turn celebration into stewardship — proving that large-scale events can leave behind cleaner, healthier beaches.

Emergency Response & Public Safety

Orange Crush Festival has a comprehensive Emergency Response Plan designed to protect attendees, staff, and residents at all times. Led by our Public Safety Coordinator and supported by local law enforcement and EMS, the plan includes 24/7 on-site medical tents, roaming first responders, and clearly marked emergency zones. Storm evacuation protocols, lost child procedures, and beach safety patrols are pre-approved with city officials and reviewed daily. Our command center maintains direct radio communication with Tybee Island Police, Fire, and EMS to ensure rapid response to any incident — reinforcing our commitment to a secure and professionally managed event.

Logistics & Compliance

Orange Crush Festival operates under a tightly managed Logistics and Compliance Framework to ensure full coordination with city officials, vendors, and safety personnel. Every element of the festival — from stage setups and vendor placement to restroom access and shuttle routes — follows a pre-approved site plan reviewed with the City of Tybee. Our team maintains updated insurance coverage, city permits, and business licenses, while all vendors undergo credential checks and sign compliance agreements.
